Manage team and podcast members

Invite collaborators to your team or one podcast, choose their permissions, change roles, and remove access. Managers can also connect the desktop app and run imports on their computer.

Give each collaborator access to the podcasts they work on. Invite someone to your team if they need access to every podcast, or invite them directly to one podcast if that is all they need.

Only the team owner can invite people, change their roles, revoke invitations, or remove members. This applies to both team and podcast membership.

Choose team-wide or podcast-only access

Team members inherit access to every podcast in the team, including podcasts created later. Use team access for people who work across your catalog.

A direct podcast member gets access to that podcast without becoming a team member. Use this for a producer, editor, or collaborator working on one show. They can see that podcast in the dashboard, but cannot create other podcasts in your team or access its other shows.

Someone who already belongs to the team cannot also be invited directly to one of its podcasts. Their team role determines their access. You cannot give a team member a different role for just one podcast.

Choose a role

The team member form offers Read and Manager. The owner keeps the Owner role.

  • Read: View podcasts, episodes, and workspace details.
  • Manager: Create podcasts and episodes, edit content, publish episodes, and run desktop imports and sync.
  • Owner: Manage content, delete podcasts and episodes, manage members, and control team settings and billing.

Managers cannot manage members, change team settings or billing, delete podcasts, or manually delete episodes. A completed desktop sync can remove episodes imported from its linked YouTube source when those videos disappear from the source. That permission is limited to the source's imported episodes.

For a direct podcast invitation, the choices are Read and Write. Read allows viewing; Write allows creating, editing, and publishing content within that podcast. Neither role allows managing members or billing.

Invite someone to your team

  1. Sign in to the dashboard as the team owner.
  2. Select the team and open Members in the team navigation.
  3. Under Invite a member, enter their Email address.
  4. Choose Read or Manager under Role.
  5. Select Send invitation.

The invitation appears under Pending invitations. Sending it does not give the person access yet; they must accept it.

Invite someone to one podcast

  1. Select your team, open Podcasts, and open the podcast.
  2. Open Members in the podcast navigation.
  3. Under Invite a podcast member, enter their Email address.
  4. Choose Read or Write under Role.
  5. Select Send invitation.

The podcast's members page separates Direct access from Team access. People marked Via team inherit their role from team membership. Manage those roles on the team's Members page.

Accept an invitation

Invitations arrive by email and expire after 7 days. Open the link, sign in or create a Listenbox account using the invited email address, and accept the invitation. Access starts after acceptance.

If you are signed in with a different email address, choose Use another account and sign in with the invited address. Forwarding the link does not let someone accept it with a different email.

If the invitation is expired, revoked, or already accepted, it will be unavailable. If you already accepted it, open the dashboard. Otherwise, ask the owner to send a new invitation.

Change a role or revoke a pending invitation

On the appropriate team or podcast Members page, choose the new role beside an active member and select Save. Change a team member's role at the team level; change a direct podcast member's role on that podcast's page.

You can also change the role beside a Pending invitation and select Save before it is accepted. To cancel it, select Revoke and confirm with Revoke invitation. The old invitation link stops working immediately. Send a new invitation if you want to offer access again.

The owner role is not an invitation option, and this page does not let you change or remove the owner's membership.

Let a manager run desktop imports

A team manager can connect the Listenbox desktop app or CLI using their own account and authorize its API access. They do not need the owner's login or API credentials.

In the desktop app, choose Sign in to Listenbox. In the browser, sign in with the manager's account, select the shared team, and choose Connect desktop. Return to the app to import and sync recordings on that computer. For the CLI, start with listenbox login and approve the request in your browser.

Connecting a client keeps the manager's permissions: it does not grant member management or manual episode deletion. Read team members cannot approve desktop or CLI access; the owner must change their team role to Manager if they need to run imports.

Remove a member

On the team or podcast Members page, select Remove beside the person and confirm with Remove member.

Removing a team member takes away their team membership and the podcast access they inherited from it. Removing a direct podcast member takes away their direct access to that podcast. Their Listenbox account and access to other teams or separately shared podcasts remain.

For someone listed under Team access, remove or change their membership on the team's Members page. Their inherited access cannot be removed from an individual podcast.
